Johnson & Wales University (JWU) is committed to protecting your personal information. This privacy notice relates to our use of personal information that we collect from you via our employment site (work.jwu.edu). It also relates to our use of any personal information in the employment process that you provide to us in person, by email, letters, telephone, fax, text message and other correspondence, including information we receive from third parties provided to us for verification or other purposes.

When you contact us or apply for a position with the university:

While you can use our employment site to learn about open positions without sharing your personal information with us, we will collect, process and store certain information when you contact us (such as your name and your email address) to respond to you. If you apply for a position with JWU, we will collect, process and store information that you have provided to us for recruitment and employment related purposes, such as processing your application for employment with JWU.
Please note that, under limited circumstances and to comply with certain legal requirements, we might ask you to provide additional, maybe sensitive personal information, such as your ethnic origin or health information.

How long will JWU retain your personal information?

We will retain your personal information on our systems for as long as necessary to conduct the relevant activity.

The legal basis for processing your personal information:

The legal basis for the collection and use of your personal information will depend on the specific context in which we collect it. Generally, we will only collect your personal information in cases where we (i) have your consent to do so, (ii) need the information in preparation for the performance of a contract with you, or (iii) the processing is in our legitimate business interests and balanced against your rights. Our legitimate business interests consist of internal administrative purposes associated with hiring and employment.

Sharing your personal information with others:

We do not share your personal information with third parties unless we are required to do so by law or if we use a third party to provide services on your behalf, such as an employment benefit vendor, for example.
Personal information collected from you or provided by you through our employment website is transferred to the systems of our data processor, PageUp. These systems are located in the United States of America. We have taken steps to confirm that our data processor uses adequate levels of data protection by implementing standard contractual clauses into our agreement with the data processor. By submitting your personal information to us you agree to this transfer or storing or processing of data at a location in the United States of America.

Your rights associated with the processing of your personal information:

You may access a copy of the information we store about you, unless where our release of that information would interfere with another person’s rights or where exemptions apply. We will fulfil your request by sending your copy electronically. You may also ask us to correct any inaccuracies found in that data. We may ask you to verify your identity when you make such requests.
You may ask us to remove your personal information from our systems. We will securely dispose of your personal information unless overriding legitimate business interests prevent us from removing your personal information. Removing your personal information from our systems might affect your ability to apply for positions or our ability to process data necessary for your employment.

You may ask us to restrict personal information processing. If our processing of your personal information is restricted, we will be able to store your data, but we cannot further process it. Such restrictions might affect your ability to apply for positions or our ability to process data necessary for your employment.
